Privacy Policy

PrepEM (“we,” “us,” or “our”) provides an online study tool for the American Board of Emergency Medicine (ABEM) Certifying Exam. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using PrepEM, you agree to this policy.

Information we collect

• Account information. When you sign up with Google or with an email and password, we receive your email address and, if you use Google, your name and basic profile information.
• Usage and progress data. We store which practice cases and quizzes you complete so we can show your progress.
• Technical and analytics data. We collect usage statistics (such as page views, the features you use, and device type) to understand how the product is used. For signed-in users this product-analytics data, which may include a recording of your interactions within the app (such as clicks and navigation), is associated with your account and email address so we can understand and improve how the service works.
• Voice dictation (optional). Some practice features let you dictate your answers by voice. If you choose to use this, your browser records short audio clips from your microphone and sends them to our speech-to-text provider to convert your speech into text. The audio is used only to produce that transcript — we do not store your audio recordings, and only the resulting text that you keep in your answers is saved. Voice dictation never starts without you pressing the dictate button, and you can use the feature by typing instead.
• AI standardized-patient encounters (optional).In the reassessment and communication practice modes (difficult conversations, managing conflict, and patient-centered communication), the messages you send during an encounter, together with the fictional case context, are sent to our AI provider to generate the simulated counterpart's (patient, family member, or clinician) responses and your end-of-case feedback. We store the encounter transcript (your messages and the simulated patient's replies), linked to your account, to grade the encounter and show your feedback, and we may review transcripts to evaluate and improve the accuracy, safety, and realism of the simulated patient. We also retain which cases you complete and aggregate usage metrics (such as token counts) to monitor cost.

Interacting with AI

When you use the AI standardized-patient encounters, you are interacting with an automated artificial-intelligence system — not a real person or a licensed clinician. The simulated patient's replies and your end-of-case feedback are generated by AI and are provided for exam practice only. We surface this notice so your interaction with AI is clear and conspicuous, consistent with California disclosure requirements.

How we use your information

• To create and secure your account and sign you in.
• To save and display your study progress across sessions.
• To operate, maintain, and improve the service.
• To review AI-encounter transcripts for quality assurance — checking that the simulated patient behaved accurately and safely — and to improve those features.
• To send account-related emails (for example, password resets).

We do not sell your personal information.

Service providers

We rely on the following providers to run PrepEM, and they process data on our behalf:

• Supabase — authentication and database (account and progress data).
• Google — optional “Sign in with Google” authentication.
• Vercel — website hosting and aggregated, privacy-friendly analytics.
• PostHog — product analytics and session replay. For signed-in users we send your account identifier and email address so we can analyze usage and improve the product. PostHog processes this data on our behalf and we do not use it for advertising.
• Resend — delivery of account-related emails.
• OpenAI— powers the optional voice-dictation transcription and the AI standardized-patient encounters (generating the simulated patient's replies and your automated feedback). Audio you dictate and the text of your practice-encounter messages are sent to OpenAI solely to provide these features, are processed under OpenAI’s API data-usage policies, and are not used to train their models.

Cookies and sessions

We use cookies that are necessary to keep you signed in and to operate the service. We do not use advertising cookies.

Data retention and deletion

We keep your account and progress data for as long as your account is active. You may request deletion of your account and associated data at any time by contacting us at the address below, and we will delete it within a reasonable period.

Security

We take reasonable measures to protect your information, including encrypted connections and access controls. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

Children

PrepEM is intended for physicians and medical trainees and is not directed to children under 13. We do not knowingly collect personal information from children.

Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the “Last updated” date above.
